Job Summary

The Operations Intern for summer conferences is an undergraduate/graduate student who will serve as a member of the Drexel Conference Services staff during the Spring/Summer Terms. The Associate Director for Drexel Conference Services will directly supervise the Intern.

Essential Functions

  • Train, develop, and co-supervise 15-20 undergraduate Summer Conference Assistants.
  • Create and maintain the CAs schedule.
  • Conduct a written evaluation of each CA in accordance with department expectations.
  • Oversee and monitor the turn process of the conference rooms and report/ assess for damages.
  • Coordinate and monitor all linen and catering needs/orders of the conference groups.
  • Host weekly meeting with staff members.
  • Maintain an accurate record/count of all the liens and monitor profits vs losses.
  • Monitor/Oversee updates of the occupancy graph regarding check ins and check outs.
  • Issue keys, ID cards, and conference booklets to guests.
  • Participate in an on-call rotation to provide assistance to CA staff as needed (includes nights and weekends).
  • Be a reference point for group leaders and or guests.
  • Represent Drexel in a professional matter with all guests.
  • Manage key inventory, distribution, and collection after each conference session.
  • Set up and break down conference supplies as needed.
  • Support university and departmental mission, policies in a positive manner.
  • Meet weekly with Associate Director.
  • Following up with the summer conference inquiries.
  • Assist with improving the customer journey via the conference services website.
  • Keeping track/inventory of all conference supplies.

Required Qualifications

  • High School Diploma or GED.
  • Currently enrolled in an undergraduate- or a graduate-level program.
