About the Academy

The Academy of Natural Sciences was founded in 1812 for "the encouragement and cultivation of the sciences".  Since then, it has sponsored global expeditions, conducted pioneering environmental and systematics research, and amassed remarkable collections containing more than 18 million specimens from around the world and a peerless library and archive. Job Summary

The Database Manager is a member of the Academy’s fast moving Institutional Advancement team.  This job oversees the development donor database, gift processing, and reconciliation with the Drexel and Academy finance operations. The incumbent will prepare reports, enter daily contributions and membership gifts, and create queries and other specialized data and reporting functions as required. This role requires an advanced knowledge of all gift receipt, processing, acknowledgement, and reporting functions, as well as oversight of data management and ensuring the integrity and security of development-related data. 

Additionally, this role will be instrumental in the rollout of Altru, a new donor database that the Academy will be transitioning to in the coming year.  Experience with the deployment and implementation of new IT/database systems is strongly preferred.

Essential Functions

  • Process all membership and contributed gifts to the Academy through the Raiser’s Edge database, including daily gift entry and batch creation
  • Fulfill all membership gifts, including distributing membership cards and acknowledgement letters to new and renewing members
  • Continually audit and monitor the database to ensure its overall data integrity and accurate donor records, perform periodic maintenance such as address finder and other routine updates
  • Troubleshoot issues in the database with IT/Blackbaud, acting as the primary contact for Blackbaud, and other Academy departments to ensure seamless operations across the organization
  • Create and implement queries for event mailings, membership renewals, Annual Fund, the Annual Report, and other projects as needed, including custom queries that make data actionable for Gift Officers
  • Manage the donor acknowledgement process, including working closely with Gift Officers to ensure timely recognition of new donations
  • Generate weekly gift reports for senior management that enable deeper stewardship of donors
  • Generate weekly metrics reports which track fundraising progress to overall budgeted goals, assist with other reports as requested by Drexel IA, Finance, or senior leadership
  • Oversee the reconciliation process with Finance and Drexel IA to ensure accurate records and coding of both membership gifts and contributed revenue
  • Establish new fund codes and new records in the database in line with new fundraising efforts and strategies
  • Track registrations for member and donor events in Raiser’s Edge and import membership/donor engagement data to assist in analyzing behaviors
  • Assist with general data queries and other database support functions
  • Manage the data imports between the Siriusware ticketing system and Raiser’s Edge and the creation and maintenance of online forms for donations and membership purchases
  • Perform additional duties and responsibilities as assigned

Required Qualifications

  • Bachelor’s Degree or Equivalent
  • 2 to 5 years of prior database experience or similar role
  • Excellent computer literacy, including prior database experience, required
  • Excellent time management and organizational skills required

Preferred Qualifications

  • Prior experience in customer service, membership or development office preferred
  • Knowledge of database fundraising software Raiser’s Edge, Altru, Cuseum, or ticketing system Siriusware preferred
  • Experience working in the no-profit/Arts & Culture sector preferred
