Job Summary

Salus at Drexel is seeking a Grant Manager to manage sponsored program projects from pre- award through post award. The Grant Manager will support principal investigators (PI’s) on proposal development, budget development, and related pre-award requirements and submission for a diverse sponsor portfolio. This position will be responsible for managing post-award processes including monitoring and reviewing charges, reconciliation of accounts, and preparation of monthly financial reports for PI’s. The Grant Manager will provide administrative support and budget management for awarded grants including award setup, budget tracking, subaward management, and reporting. Portfolios include basic, translational, and clinical science. The sponsors include National Institutes of Health (NIH), governmental authorities (e.g., Commonwealth of Pennsylvania), the Department of Defense, foundations, and industry. This position reports to the Associate Dean of Research at Salus at Drexel.

Essential Functions

Prepare complex, multiple-year budgets for federal, state, industry-sponsored projects, private sponsors for grants and service contracts.

  • Prepare salary budgets utilizing employee compensation rates.
  • Apply appropriate fringe benefits rates, and approved escalation rates.
  • Apply appropriate indirect cost rate.
  • Work with external collaborators and institutions to obtain budget documents for subawards and consultants.
  • Ensure proposed budget complies with sponsor guidelines for allowable expenses. Other duties as assigned.

Complete all Administrative tasks related to proposal submissions.

  • Advise investigators on sponsor’s instructions regarding the application, grant budget, allowable expenses, budget restrictions and applicable rates for Facilities and Administration (“indirect costs”).
  • Act as liaison between investigator and ORI grant administrator.
  • Coordinate with internal and external collaborators, other Drexel units, and Drexel ORI for internal proposal review, document preparation, and approval routing.
  • Review draft documents to ensure all submission documents are completed and meet sponsor guidelines.
  • Route grants and service contracts for signatures as per established processes and to meet deadlines.
  • Complete proposals using sponsor systems (e.g.  ASSIST, Workspace) for submission.

Manage portfolio of Salus at Drexel research funds.

  • Advise PI of sponsor and Drexel expenditure guidelines.
  • Monitor transactions for compliance to guidelines.
  • Track expenditures vs budget. Provide monthly report to PI.
  • Develop projections for total project expenditures. Provide report to PI.
  • Work with Principal Investigators to allocate appropriate effort of personnel for each sponsored project. Run payroll reports to confirm correct funding sources and labor distribution; investigate and resolve errors.
  • Aid Associate Dean of Research in the proactive management of funds. Present reports which provide a detailed financial status of all active grants, inactive grants with outstanding issues, and expiring grants over next fiscal period. Track account revenue, expenses, and account details grant and clinical trials funds.
  • Work directly with the PI, ORI, and Office of the Comptroller (Research Accounting Services) to resolve issues and discrepancies.
  • Submit journal entries and labor redistributions to correct errors.
  • Submit EPAFs to adjust future effort allocations.

Manage Contract process for portfolio of projects.

  • Work with ORI, PI and external collaborators to execute subaward and consultant contracts.
  • Work with ORI, PI, and external collaborators and/or funding sponsors to review and execute all grant award contracts.
  • Work with ORI, PI, and external collaborators and/or funding sponsors to review and execute all data use agreements.
  • Work with the tax office to evaluate and certify consultants and contractors for independent contractor status.

Manage procurement process for portfolio of projects.

  • Establish purchase orders for subawards and service contracts.
  • Make other project-related purchases following university guidelines.
  • Assist outside vendors with registration in Smart Source.
  • Approve invoices.
  • Monitor invoices for payment status.
  • Work directly with the Procurement, Sourcing, Supplier Registration, and Accounts Payable to resolve issues and discrepancies.
  • Review Concur transactions for allowability on project fund.

Work closely with Office of Research and Innovation, Research Contracts and Research Accounting Services to manage handoff from pre-award to post-award for new projects.

  • Monitor the creation of new fund numbers appropriate to funding source.
  • Confirm that information for approved budget is set up in Banner or other electronic platforms.
  • Ensure approved rate and application of indirect costs for project budgets.
  • Ensure contract is fully executed.

Maintain a comprehensive calendar that includes a schedule for developing grant applications, and a schedule for reporting and invoicing. Manage time and workflow to meet deadlines.

Required Qualifications

  • Bachelor’s Degree in business administration, accounting, financial management, project management or equivalent field, or the equivalent combination of education and work experience.
  • 3-5 years’ experience in pre-award and post award management supporting multiple PIs in a university research environment
  • Intermediate/Advanced Excel Skills such as linking multiple tabs in spreadsheets, using pivot tables, writing complex formulas.

Preferred Qualifications

  • Familiarity with internal Drexel University financial management tools (Banner, Hyperion, COEUS, Web Finance, Web Salary, Concur, and SmartSource) is a plus
  • Experience preparing complex multiple-year budgets for grants and clinical trial sponsors using excel or other financial software
  • Ability to work independently in a team environment and take ownership of position responsibilities
  • Familiarity with NIH (e.g., ERA Commons) and industry funding mechanisms

This position is classified as exempt, grade M. Compensation for this grade ranges from $75,200.00 to $112,790.00 per year. Please note that the offered rate for this position typically aligns with the minimum to midrange of this grade, but it can vary based on the successful candidate’s qualifications and experience, department budget, and an internal equity review.
