Job Summary

The Academic Program Coordinator II serves as a primary point of contact and department liaison for students in CNHP’s Physical Therapy (PTRS) and Physician Assistant (PA) departments, and other CNHP health professions units as needed. Helps manage administrative aspects of student education and the student experience from matriculation through graduation.

Essential Functions

  • Manages administrative duties and communications with students for select academic programs in the CNHP Health Professions units, particularly PTRS and PA.
    • Supports orientation programing and incoming student communications.
    • Provides course registration information to students, registers students for independent study sections, graduate projects, and other courses requiring staff assistance.
    • Confirms class registration.
    • Confirms course evaluation completion and on-time grade submissions.
    • Supports graduation activities such as communications to students, instructions on how to apply to graduate, including 1st year 3+3 students and is the lead planner for graduation events.
    • Clear students for graduation.
    • Schedules and plans yearly student-related activities such as, test preparation course, CPR training, conference registration information, class meetings, white coat ceremonies, etc.
    • Runs and reviews quarterly academic standing reports and prepares and submits required documentation.
    • Processes all forms related to students' academic change of status or continued enrollment.
    • Prepares databases related to student enrollment, progress and program outcomes.
    • Prepares certifications for students for graduation and licensure internally and externally.
    • Maintains confidential student records.
    • Assists program directors with planning the scheduling of courses and labs and responsible for the data entry of yearly course galleys and quarterly updates in Drexel’s course scheduling software (CourseLeaf) and entering faculty assignments into Banner.
    • Creates and maintains cohort Outlook calendars, yearly student cohort folders, program BlackBoard updates, and class listservs.
    • Handles course classroom one-time changes and final exam scheduling. o Provides Drexel Bookstore with quarterly book lists.
    • Maintains program Microsoft Office Teams sites.
    • Assists with updating and posting yearly program handbooks to Blackboard and the server.
    • Responsible for archiving all syllabi to server on a quarterly basis.
  • Administrative Support Responsibilities:
    • Supports committees as assigned.
    • Assists department leaders and committees with reporting to include preparation of accreditation reports, department/program review reports, supporting materials and organization of team visits.
    • Assists with department administrative tasks.
    • Performs other duties as assigned by supervisors.
    • Assist with programs’ social media initiatives and marketing campaigns as needed.
    • Supervises work study students. Performs other duties in PTRS, PA, and-or CNHP Health Professions as assigned.

Required Qualifications

  •  Bachelor’s Degree in Higher Education Administration, Higher Education Development, Business Administration, Marketing, or related field OR the equivalent combination of education and work experience.
  • 3+ years of progressive experience in a university administrative position. 
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office365 software programs including Teams and Sharepoint.

Preferred Qualifications

  • Ability to work diplomatically and collaboratively with faculty and with administrators and support personnel in other university offices.
  • Ability to handle multiple tasks and prioritize duties.
  • Ability to work independently and make independent decisions.
  • Proficiency in finding information through web-based information sources.
  • Attention to detail.
  • Experience with academic software, such as Banner, DegreeWorks,

Additional Information

This position is classified as exempt, grade J. Compensation for this grade ranges from $47,490 - $71,230 per year. Please note that the offered rate for this position typically aligns with the minimum to midrange of this grade, but it can vary based on the successful candidate’s qualifications and experience, department budget, and an internal equity review.
