Job Summary

Reporting to the Senior Managing Director of the Nowak Metro Finance Lab, the Executive Assistant is responsible for coordinating and executing various administrative duties, such as managing meeting and event calendars, coordinating travel logistics, and facilitating communications to internal and external contact networks on behalf of Bruce Katz, Co-Founder and Director of the Nowak Metro Finance Lab.

This position is primarily remote but the incumbent must live in the Greater Philadelphia Area, with ability to come into the office a few times a year.

Essential Functions

  • Provide high-level support to the Director of the Nowak Metro Finance Lab by managing their calendar, communications, and assisting with projects, travel schedules, social media accounts, and other related administrative duties.
  • Manage the Director’s calendar by scheduling meetings with internal employees and external partners, including economic development and public policy practitioners and media, and preparing meeting collateral.
  • Arrange travel, including transportation, accommodations, and itineraries.
  • Create and maintain working documents to support ongoing projects while collaborating with Lindy Institute staff to improve work delegation and workflow and adhering to strict project deadlines.
  • Manage the Director’s internal and external communications networks, including emails and event announcements, updating the Nowak Lab website, and coordinating with The New Localism Associates and the Lindy Institute and Nowak Lab staff.
  • Manage media inquiries on behalf of the Institute and Lab and coordinate with Lindy Institute and Drexel University Communications staff.
  • Manage the Lab’s social media accounts and support and coordinate the Director’s use of social media platforms, including LinkedIn, Twitter, Instagram, and other platforms as needed.
  • Work with Institute and Lab staff to draft and edit project, meeting, or communication materials, such as agendas, memos, presentations, announcements, and other written works.
  • Assist with other Lindy Institute or Nowak Metro Finance Lab duties as necessary, including recruiting and onboarding Nowak Lab staff and assisting with report and publication edits.
  • Maintain a clear line of communication with the Institute’s leadership to ensure the above functions are coordinated and executed in a timely manner.
  • Maintain a detailed knowledge of a growing network of practitioners and thought leaders in economic development and urban finance and cultivate relationships with network contacts.

Required Qualifications

  • Minimum of a Bachelor's degree or equivalent combination of education and work experience. (Please review the  Equivalency Chart for additional information.)
  • Minimum of 4 years of experience working in a fast-paced environment and supporting C-suite or executive-level positions.
  • Experience with Microsoft Office (Word, Excel, PowerPoint, and Outlook).
  • Ability and experience being flexible and anticipating logistical needs of ongoing projects and processes.
  • Ability to work effectively in teams and independently.
  • Strong organization and detail-oriented skills.
  • Strong communication skills, including written and verbal.
  • Ability to work evenings and weekends as needed/in case of emergency.

Preferred Qualifications

  • Experience working in a government setting, political campaigns, policy or issue campaigns and politics.
  • Experience with the Adobe Creative Suite (Photoshop, Illustrator, and InDesign).

Additional Information

This position is classified as Exempt, grade L. Compensation for this grade ranges from $62,630 - $93,950 per year. Please note that the offered rate for this position typically aligns with the minimum to midrange of this grade, but it can vary based on the successful candidate’s qualifications and experience, department budget, and an internal equity review.
