Job Summary

Reporting to the Associate Registrar of the Office of the University Registrar (OUR), the Assistant Registrar is a manager of student services and processes of all academic records for the Academic Records Team including enrollment/degree verification, transcripts, and student record updates.

Essential Functions

  • Manages all processes related to grading and academic records, including grading, transcripts and certifications generation, and academic probation processing, etc.
  • Helps develop business processes and solutions with respect to academic records to eliminate errors and redundancies with all processes.
  • Develops and implements business solutions for the Academic Records Team.
  • Ensures the data integrity in systems and scrutinizes business practices related to academic records.
  • Provides training on Academic Records and University policy issues to other areas at the University via the onboarding training process.
  • Provides students service to all administrative areas related to OUR processes and student related requests.
  • Assists with academic record issues related to the Undergraduate and Graduate Academic Advising, SCDC, Graduate College and School of Law.
  • Assists with the management of Academic Standing and End of Term processes.
  • Assists the Associate Registrar with management of degree emails, degree clearance and graduation related activities.
  • Assists with troubleshooting and communications of academic record issues with Registrar Office constituents.
  • Attends meetings with all administrative units when necessary to represent the academic record team.
  • Manages the Academic Records email account for Office of the University Registrar.
  • Assists with subpoenas for academic records from the Office of General Counsel.
  • Follows the operations calendar for the Office of the University Registrar.
  • Provides support for the Office of the Provost and Financial Aid for adherence to policies and procedures laid forth by FERPA, AACRAO and the Department of Education.
  • Works as part of the management team for Drexel Central and OUR, to develop, manage and plan for the Office of the University Registrar. 
  • Assists Senior Associate Registrars for Academic Records with all management and planning activities for OUR.
  • Represents the University Registrar as needed with other units in the University (Drexel Central, Bursar and Financial Aid) to assist with all students related academic record inquires.
  • Performs other duties as assigned.

Required Qualifications

  • Minimum of Associate's Degree or the equivalent combination of education and work experience. 
  • Minimum of 3 years of experience working in a Registrar Office, Student Services and/or related experience working in the education sector.
  • Strong analytical and problem-solving skills.
  • Experience using report-generation tools, such as Office 365.
  • Excellent organizational and planning skills.

Preferred Qualifications

  • Bachelor's Degree.
  • Familiarity with FERPA guidelines.
  • Ability to work independently or collaboratively.
  • Demonstrated interpersonal skills.
  • Ability to be a self-starter and takes own initiative.
  • Experience producing operational documentation.
  • Experience training colleagues on internal operations and processes.

Additional Information
This position is classified as Exempt, grade K. Compensation for this grade ranges from $54,630 - $81,940 per year. Please note that the offered rate for this position typically aligns closer to the minimum of this grade, but it can vary based on the successful candidate’s qualifications and experience, department budget, and an internal equity review.
