Job Summary

Reporting to the Associate Director for Operations & Outreach of International Students and Scholars Services (ISSS), the International Student & Scholar Coordinator will provide superb customer service while overseeing all front desk/clerical functions for the Department and providing Tier-1 student and scholar immigration support.

Essential Functions

  • Greet visitors, answer incoming calls, and help students, scholars, and other ISSS visitors in a courteous, friendly, and timely manner.
  • Provide professional, helpful, and high-quality customer service is the essential duty of this position.
  • Oversee pick-up and shipping services of sensitive immigration materials and other office documents. Oversees the organization of front desk filing system. Prints and generates documents for pick-up and shipment as needed.
  • Oversee the ISSS  email account and resolve and/or triage emails as appropriate, effectively and promptly.
  • Serve as a Designated School Official (DSO) for the F-1 student program and an Alternate Responsible Officer (ARO) for the J-1 Exchange Visitor Program.
  • Use SEVIS (Student and Exchange Visitor Information System) and Ellucian ISSM (International Student and Scholar Management) to issue I-20s and DS-2019s. Answer procedural questions and respond to basic immigration requests (e.g., travel signatures, I-20 reprints).
  • Use templates to issue letters for students and scholars, when requested by professional staff members.
  • Assistant to the Executive Director (maintaining calendars, schedule meetings, etc.) and assist with special projects.
  • Maintain Professional Staff calendars, schedule appointments, and schedule meetings.
  • Provide administrative support to the Professional Staff such as correspondence, reports, filing, database maintenance, maintaining accurate office records, preparing check requests, purchase orders, etc.
  • Manage intake, case tracking, and initial review for certain student/scholar applications, ensuring accurate documentation and timely follow-up throughout the process.
  • Support the development and delivery of ISSS new student and scholar orientations and other programs.
  • Maintain equipment and order supplies for the office.
  • Maintain a neat and professional work environment.
  • Hire, onboard, and oversee student workers.
  • Serve as a valuable member of the ISSS team and support the office in the development and implementation of ISSS strategy and operations with the goal of continued enhancement of service delivery.
  • Explore and participate in HR professional development opportunities relevant to the job duties and the ISSS mission of welcoming and supporting international students and scholars. 
  • Perform other duties to support strategic plans for welcoming and supporting Drexel’s international students and scholars.

Required Qualifications

  • Minimum of HS Diploma or GED or the equivalent combination of education and work experience. 
  • Minimum of 3 years of experience working in a customer/client-facing role.
  • Knowledge of Federal Education Rights and Privacy Act (FERPA) implications on advising.
  • Willingness to work and interact with people of diverse cultures and varying levels of English language proficiency.
  • Excellent multi-tasking, attention to detail, and organization skills.
  • Ability to be a team player and customer-service driven.
  • Ability to maintain a strong work ethic while working in a fast-paced environment.
  • Ability to maintain confidentiality.
  • Excellent communication (verbal and written), interpersonal, and analytical skills.
  • Proficiency with Microsoft Office Suite and database management.
  • Demonstrated ability to learn new databases.
  • Per the U.S. Department of Homeland Security and U.S. Department of State, must be a U.S. citizen or lawful permanent resident to serve as DSO and ARO.
  • Ability to pass a criminal background check every 4 years to serve as an ARO, per U.S. Department of State regulations.

Preferred Qualifications

  • Bachelor’s Degree.
  • 1 year of experience working with students in a college/university setting.
  • Working knowledge of Student & Exchange Visitor Information System (SEVIS) and Ellucian International Student and Scholar Management (ISSM).
  • Working knowledge of Banner, Hyperion, Nolij, Advisor Visitor Tracking (AVT).

This position is classified as Non-Exempt, grade H. Compensation for this grade ranges from $17.14 - $25.71per hour. Please note that the offered rate for this position typically aligns with the minimum to midrange of this grade, but it can vary based on the successful candidate’s qualifications and experience, department budget, and an internal equity review.
