Suspension of Drexel University's Contribution into 403(b) Retirement Plan

As communicated on Oct. 10, Drexel University is suspending its contributions to employee retirement plans for calendar year 2025 as part of its multi-year plan to build financial resilience. Job Summary

The Department of Human Resources is seeking an Onboarding Specialist to join the HR Compliance team. The Onboarding Specialist will be responsible for a range of administrative duties to support the pre-employment process while maintaining compliance with employment laws and University policies. This position will report to the Director, HR Compliance and closely support the Talent Acquisition team.

Essential Functions

  • Manage pre-employment requirements for finalist candidates including professional staff, faculty, adjuncts, temp/casual/per diem, co-op, and Salus student employees.
    • Review New Hire Forms for completion and accuracy before going to HRIS
    • Initiate I-9 for employment eligibility verification and E-Verify
    • Launch background checks (criminal, employment, and education verification)
    • Launch Motor Vehicle Reports (MVR) and professional license verifications, if required
    • Update log/spreadsheet when clearances (PEBC) are required for Compliance Team action
    • Request and maintain work permits for minors
  • Provide regular check-ins and follow-up calls/emails to finalist candidates to make sure all steps of the pre-employment process are completed in a timely manner.
  • Offer support to finalist candidates or their authorized representative for all I-9 questions.
  • Work with Compliance to ensure that PEBC/clearances are completed and do follow-up requests as needed.
  • Escalate all background check questions/concerns and pre-adverse/adverse action process to Director, HR Compliance as needed.
  • Save documents into personnel file; code MVR and/or licenses into Banner.
  • Verify that finalist candidates in adjunct and faculty roles have either graduated from an English-speaking institution of higher education or obtain attestation of fluency form from department, to ensure compliance with the English Fluency in Higher Education Act
  • Complete pre-employment chargebacks.
  • Work closely with TA Consultants so they can provide regular updates to their client areas.
    • Communicate with TA Consultants if start dates need to be adjusted due to missing pre-employment requirements. 
  • Work with HRIS to adjust employment dates as needed. 
  • Upon completion of all pre-employment requirements, send Drexel account access instructions for new hires with benefit details, Dragon Welcome details, and other new hire information. 
  • Maintain the New Hire spreadsheet for Dragon Welcome sessions and send spreadsheets to the distribution list on a weekly basis.
  • Other duties as assigned by the Director, HR Compliance and/or Associate Director of Talent Acquisition 

Required Qualifications

  • Minimum of HS Diploma or GED.
  • 1-2 years of Experience working in Human Resources (Human Resources Coordinator, Human Resources Generalist or Human Resources Assistant experience)

Preferred Qualifications

  • Bachelor’s Degree preferred.
  • Familiarity working with HR vendors or systems

  • Typically sitting at a desk/table

This position is classified as Exempt, grade J. Compensation for this grade ranges from $47,490.00 - $71,230.00 per year. Please note that the offered rate for this position typically aligns with the minimum to midrange of this grade, but it can vary based on the successful candidate’s qualifications and experience, department budget, and an internal equity review.
