Suspension of Drexel University's Contribution into 403(b) Retirement Plan

As communicated on Oct. 10, Drexel University is suspending its contributions to employee retirement plans for calendar year 2025 as part of its multi-year plan to build financial resilience. Job Summary

Reporting to the Manager of Travel and Expense, the Travel & Expense Coordinator supports the daily operations of the University's Travel and Expense Program. This role is responsible for triaging and responding to travel and P-Card inquiries submitted through the department's shared mailbox, reviewing expense reports submitted via SAP Concur, and assisting with general system navigation for faculty and staff. The Coordinator plays a critical role in ensuring policy compliance, timely report processing, and quality customer service across Drexel University and its affiliates.

The Travel & Expense Coordinator also supports internal audit readiness through documentation tracking and assists with maintaining the integrity of data within Concur and related platforms. This position is ideal for a detail-oriented professional with strong communication skills, a collaborative mindset, and an interest in compliance and administrative systems.

Essential Functions

  • Review submitted Concur expense reports for completeness, accuracy, and compliance with University policies. Assist in tracking documentation for audit purposes and following up on incomplete submissions. Support monthly random audits in partnership with the Compliance Specialist.
  • Monitor and triage the shared T&E inbox, ensuring timely and accurate responses to faculty and staff inquiries. Provide front-line customer service to end-users navigating Concur and related travel and expense policies. Escalate complex issues to the Manager or Compliance Specialist as needed.
  • Support onboarding of new users by directing them to appropriate training materials and responding to common setup questions. Assist with creating and updating Concur process guides and help documents.
  • Assist with testing system updates and enhancements in Concur. Support data integrity checks and ad hoc reporting as assigned. Maintain logs and documentation related to audit review cycles.
  • Other duties as assigned.

Required Qualifications

  • Minimum of a bachelor's degree or the equivalent combination of education and work experience. (Please review the Equivalency Chart for additional information.)
  • At least 2 years of administrative, finance, or customer service experience, preferably in higher education.

Preferred Qualifications

  • Each member of the department is required to develop and exhibit high capabilities of emotional intelligence including, but not limited to: integrity, professional respect and empathy for their colleagues and customers, strong communication skills, extraordinary customer service, and a sense of duty and dedication to their work for Drexel University.
  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word).
  • Must have excellent analytical, verbal and written communication skills, in addition to excellent interpersonal skills.
  • Demonstrates analytical experience with the knowledge of financial and accounting concepts.
  • Detail-oriented with ability to work both independently and as part of a team.
  • Understanding of Purchasing and Accounts Payable policies and systems, Higher Education preferred.
  • Experience with Ellucian’s Banner, Hyperion, JPMC PaymentNet, and SAP Concur preferred.

This position is classified as Exempt, grade J. Compensation for this grade ranges from $47,490.00 to $71,230.00 per year. Please note that the offered rate for this position typically aligns with the minimum to midrange of this grade, but it can vary based on the successful candidate’s qualifications and experience, department budget, and an internal equity review.
