Job Summary

The Assistant Registrar for Academic Services provides operational support for all course section scheduling functions for the University City campus and its online programs. This role executes scheduling workflows in CourseLeaf CLSS, ensures data integrity in Banner, and delivers training and high-quality customer service to academic departments. The Assistant Registrar manages audits, processes non-workflow tasks, and supports annual scheduling activities such as course roll and first-year registration. Working closely with the Associate Registrar, this position focuses on accurate data management, timely execution of scheduling processes, and responsive problem-solving. This role provides opportunities to develop leadership skills and gain exposure to strategic scheduling initiatives, preparing for future advancement within academic operations

Essential Functions

  • Executes and maintains course section scheduling workflows in CourseLeaf CLSS under the guidance of the Associate Registrar.
  • Acts as a key point of contact for departmental schedulers, providing training and technical support for CLSS functionality.
  • Implements solutions and system adjustments in CLSS to resolve scheduling issues.
  • Supports Associate Registrar in implementing process improvements and policy changes.
  • Manages the Registrar's Section Scheduling email account and responds to CLSS inquiries.
  • Processes non-workflow tasks and manages the analysis and utilization of CLSS reports.
  • Ensures the data integrity in Banner and CLSS through year-round audits and edits; scrutinizes business practices for accuracy 
  • Conducts CLSS and Oracle OAS audits and prepares reports for review, occasionally providing additional adjustments in Excel
  • Regularly updates documentation for Course Scheduling MS Teams environment, for the departmental course schedulers.
  • Training and Customer service provided with respect to all course scheduling for department schedulers with CLSS.
  • Assists with updates to the course catalog data in Banner, including processing additions, changes, and inactivations.
  • Contributes to annual scheduling activities, including First-Year Block Registration and course roll processes (July operations may require evening work).
  • Contributes to cyclical processes including Course Section Overrides (CSOs).
  • Provides operational support for strategic initiatives led by the Senior Associate Registrar for Academic Services.
  • Collaborates on process improvement initiatives and contributes to special projects to build strategic skills.
  • Serves as backup for the Associate Registrar of Academic Services and other team member as needed.
  • Performs additional duties as assigned.

Required Qualifications

  • Minimum of a Bachelor's Degree or the equivalent combination of education and work experience. (Please review the Equivalency Chart for additional information.)
  • Minimum of 2 years of progressively responsible experience in higher education academic operations.
  • Demonstrated expertise with an Enterprise Resource Platform (i.e. Ellucian Banner, Workday, etc.) 
  • Advanced data analysis and reporting experience and skills using Oracle OAS and/or Microsoft Excel (including PivotTables and VLOOKUP).
  • Strong analytical skills and self-motivation with respect to task and project management.
  • Excellent organizational and planning skills with attention to detail.
  • Strong interpersonal skills and demonstrated ability to function as a team player.
  • Demonstrated interest in leadership development and process improvement.
  • Excellent customer service and written communication skills.
  • Proactive self-starter who takes initiative in workflow design and problem-solving.
  • Experience delivering training and effectively managing challenging stakeholder interactions.
  • Understanding of database structures and database application techniques.
  • Ability to think “out of the box” to improve task completion and craft solutions.

Preferred Qualifications

  • Master’s degree in higher education administration or related field.
  • Expertise with Ellucian Banner
  • Experience using academic course section scheduling tool CLSS by Leapfrog Technologies (CourseLeaf) - experience with Rules, Tests, and Filters

Additional Information
This position is classified as Exempt, grade K. Compensation for this grade ranges from $54,630 - $81,940 per year. Please note that the offered rate for this position typically aligns with the minimum to midrange of this grade, but it can vary based on the successful candidate’s qualifications and experience, department budget, and an internal equity review.
