Job Summary

The Part-Time Building Operations Coordinator supports the operational needs of the Enrollment Management & Student Success (EMSS) division by managing facilities tasks, coordinating supply ordering and receiving, and providing frontline support for IT and phone systems on multiple campuses. This role helps maintain a welcoming, safe, and efficient working environment for staff, students, and visitors across EMSS office locations. The coordinator works closely with campus partners such as Facilities, Procurement, Information Technology, and Public Safety. This is a part-time position, working 15-20 hours per week.

Essential Functions

  • Facilities & Building Operations
    • Serve as EMSS’s primary contact for facility-related needs, including work orders, repairs, and scheduled maintenance.
    • Liaise with Drexel Facilities, custodial services, and external vendors to ensure timely resolution of issues.
    • Conduct routine walk-throughs to identify maintenance, safety, or space concerns.
    • Assist with office moves, room setups, space planning, and furniture requests.
    • Support building access management, including coordination with Public Safety for DragonCard access and visitor procedures.
  • Supply Ordering & Receiving
    • Manage procurement of office and operational supplies in accordance with Drexel purchasing policies.
    • Oversee inventory, stock levels, and distribution of supplies across EMSS units.
    • Receive, log, and distribute deliveries; maintain organized storage areas.
    • Coordinate vendor relationships for supplies and equipment.
  • IT & Technology Coordination
    • Act as the on-site liaison between EMSS staff and Drexel IT Support.
    • Triage and route technology-related issues (hardware, software, connectivity).
    • Assist with workstation setup, peripherals, and conferencing/meeting room technology (Zoom rooms, projectors, displays). 
    • Maintain inventory of EMSS technology assets and coordinate repairs or replacements.
  • Phone & Communications Support
    • Manage transition to Vonage phone system for the division.
    • Maintain updated internal phone rosters and ensure accurate routing of departmental lines.

Required Qualifications

  • Minimum of a HS Diploma or GED.
  • Minimum of 2 years of experience in facilities coordination, office/building operations, or administrative support.
  • Strong organizational, multitasking, and problem-solving skills.
  • Excellent interpersonal and customer service skills with a service-oriented mindset.
  • Strong attention to detail with ability to follow-through on tasks.
  • Ability to work independently and work in an adaptable environment.
  • Ability to provide basic IT troubleshooting and learning university systems.
  • Ability to maintain some flexibility with scheduling throughout the week.

Preferred Qualifications

  • Experience working in higher education.
  • Familiarity with Drexel systems (e.g., Smart Source, Web*Finance, IT ticketing).

Additional Information

This is a Part-Time temporary position classified as Non-Exempt. The offered pay is based on the successful candidate’s qualifications and experience, department budget, and an internal equity review.
