Job Summary

The Program Coordinator will oversee activities in the department including office administration, undergraduate recruitment, event planning and department communications. The coordinator is an integral member of the Mechanical Engineering and Mechanics (MEM) department staff.  The coordinator will manage and participate in undergraduate recruitment, perform event planning for student, faculty and industry guests and oversee the department communications.

Essential Functions

  • Maintaining office services by organizing office operations, receiving deliveries, ordering of supplies for members of the department, reviewing supply requisitions, and managing the MEM community spaces. Submit work orders for any facilities related matters for faculty and department and follow-up.
  • Support and participate in recruiting events for prospective students. This includes occasional weekend open houses and accepted students’ days. Prepare handout materials and leadership presentations for these and other events.
  • Plan and manage departmental events, including welcome back and holiday receptions, commencement events, and MEM student activities. This includes email outreach, coordinating space, catering, and logistics to help ensure things run smoothly.  Assist MEM visitors with travel, hotel and other matters related to their visit.
  • Communications responsibilities:  write, edit, and promote all department publicity and publications, including Web, electronic communications, and print (e.g., annual report, recruitment handouts, event invitations, outreach pieces, newsletters, etc...)
  • Supervise work study students in the department to complete their tasks
  • Perform other duties as assigned

Required Qualifications

  • Bachelor's degree
  • Minimum of two years of related administrative experience, preferably in higher education, or an equivalent combination of education and experience
  • Excellent verbal and written communication, interpersonal, and organizational skills
  • Experience with website management, writing, and editing
  • Willingness to work occasional evenings and weekends
