Job Summary

The Office of Institutional Equity and Inclusive Culture (EIC) administrative coordinator II is the first point of contact for all visitors (faculty, professional staff, students and community members) in EIC. The administrative coordinator II is responsible for responding to employee and student inquiries about EIC related topics. The applicant will demonstrate superior judgement in confidential and sensitive matters and be able to independently and professionally “step in” and offer assistance with elevated matters. This individual will assist with editing reports in addition to acting as a liaison, The administrative coordinator will support scheduling needs for the team, building of presentations, preparation of reports, proctoring of tests for religious accommodations and other various projects in EIC. The administrative coordinator will also provide backup support for the HR executive administrative assistant as needed. Career growth opportunities are available within this position.

Essential Functions

  • Be main point of contact for EIC, including telephone, greeting visitors, email and web-based inquiries. Triage and handle management of all inquiries to completion in a courteous and timely manner (providing direct follow-up, coordinating with Center staff, scheduling calls and meetings as necessary).
  • Provides administrative support to AVP, Equal Opportunity & Title IX Coordinator and the professional staff in EIC with correspondence, confidential reports, transcription, database entry, scheduling of meetings and education sessions, and other administrative tasks. Act as a back-up for Human Resources executive administrator.
  • Maintain confidentiality of all University matters. Applicant is expected to handle sensitive and/or confidential issues with professionalism.
  • Proctor exams for students with religious accommodations.
  • Maintain office supplies inventory and EIC promotional items as well as educational programming items by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
  • Provide sole source implementation for Center of all purchase orders, invoice payments, etc. through Smart Source. Maneuver through complex University systems to achieve desired outcomes. As needed reconcile purchasing card expense reports and coordinating conference travel expenses.
  • Organize and schedule internal and external meetings for EIC programs & events, including securing space, confirming attendees, overseeing set-up of space, etc.
  • Assist in scheduling and coordination of training sessions.
  • Overall responsibility for the physical space. Solve Telephone/IRT/Network issues that involve network printers {coordinating adding department members to scanner, ability to print from desktops to network printers), telephones (coordinating with Dir, Fin & Admin new telephone numbers, name changes), coordinating directory updates and desk set up.
  • Maintain customer confidence and protects operations by keeping information confidential in monitoring office email accounts, triaging incident reports, programming requests and ensuring appropriate response.
  • Maintain professional staff calendars and schedule appointments.
  • Perform other duties as assigned.

Required Qualifications

  • Bachelor’s Degree or Equivalent experience
  • Must be a team player, customer service driven, possess a strong work ethic, and have an understanding of the extreme importance of confidentiality
  • Must be able to multi-task in a fast-paced office environment

Preferred Qualifications

  • Bachelor's degree preferred but may be replaced with 5 to 7 years of experience
