Job Summary 

The Budget Coordinator will report to Drexel's Information Technology (IT) Executive Director of Business Operations with responsibility for performing a variety of functions related to the Business Office within the department including but not limited to budget responsibilities and administrative duties. Daily duties include processing purchase orders and check requests using Drexel's eProcurement system. Assist with monthly, quarterly, and annual reports and ensure financial information has been recorded accurately.  Review and submit purchasing card statements for employees using pCards.

The Budget Coordinator will be responsible for asset management, which includes maintaining office supplies, computer, printer, and computer equipment inventories. The Budget Coordinator will maintain the office supplies inventory, mail distribution, and scheduling of university and department deadlines for the Business Office of Drexel University's Office of Information Technology.

Essential Functions 

  • Handle campus wide deliveries and ensure office coverage is provided. 
  • At the direction of Executive Director of Business Operations, maintain appointment calendar. 
  • Provide courteous and prompt reception to walk-in traffic, telephone calls, and to e-mail inquiries.  Maintain a neat and professional environment.  Assist in the development of general office policies and practices.
  • Process purchase orders and check requests in Drexel's eProcurement system.
  • Maintain office supplies, computer, printer, and computer equipment inventories.
  • Monitor and order inventory for office and break room supplies.
  • Schedule building maintenance and renovations for the Information Technology Department as needed. Submit work orders and schedule repairs for general office space and equipment. 
  • Order repairs for office equipment and maintenance, connecting with and escorting vendors.
  • Review and submit purchasing card statements for employees using pCards.
  • Track expenditures and monitor progress toward strategic budget goals.
  • Data entry and excel projects; Process necessary financial records including, but not limited to travel and expense reports and cash reimbursements, quarterly budget reports, and support with annual funding requests.
  • Sorting and delivering incoming mail and collecting and sending outgoing mail.
  • Filing and organizing records, invoices and other important documentation.
  • Apply the highest level of confidentiality of sensitive University information, student records, faculty records, staff records and all information deemed confidential by the Executive Director of Business Operations.

Required Qualifications 

  • Minimum of a Bachelors degree or Equivalent  
  • Minimum of close to year of experience.
  • Must have accounting skills, ability to work under pressure and meet deadlines. 
  • The Budget Coordinator must be able to process large amounts of information and must have the ability to prioritize work. 
  • Proficiency with Microsoft office products is required. 
  • Excellent written and oral communications skills. 
  • Good team player; flexibility and good customer service skills. 
  • Must be able to apply the highest level of confidentiality of sensitive University information, student records, faculty records, staff records and all information deemed confidential by the Executive Director of Business Operations.

Preferred Qualifications 

  • Bachelor's Degree in business or accounting preferred.
  • Advanced knowledge of Microsoft Excel is preferred.
  • Experience with Microsoft Project or Smartsheet project management helpful but not required.

Physical Requirements 

  • Typically sitting at a desk/table.

Additional Information 

This position is classified as Exempt grade J. Compensation for this grade ranges from 47,490.00 to $ 71,230.00 per year. Please note that the offered rate for this position typically aligns with the minimum to midrange of this grade, but it can vary based on the successful candidate’s qualifications and experience, department budget, and an internal equity review.
