Suspension of Drexel University's Contribution into 403(b) Retirement Plan

As communicated on Oct. 10, Drexel University is suspending its contributions to employee retirement plans for calendar year 2025 as part of its multi-year plan to build financial resilience. Job Summary

The A.J. Drexel Nanomaterials Institute (DNI) is seeking a smart and diligent teammate to join our group and work collaboratively to help support our students and researchers doing exciting, interdisciplinary research in one of the best labs at Drexel University.

DNI coordinates research, education and outreach, and strategic partnerships in nanomaterials for Drexel University and beyond. Faculty, students, and industry partners collaborate in activities ranging from core research to improving the public’s understanding and interest in nanoscale materials.

DNI serves a group of up to 50 students, faculty, visiting researchers, and industry partners from a ~7000 sq. ft. state-of-the-art laboratory. The Business Coordinator performs a variety of functions that support this large, dynamic group related to the day-to-day operations with attention to detail and accuracy, including but not limited to financial, research, and human resource management.

Essential Functions

  • Manage the budget/finances on all (~20) accounts in coordination with DNI Director, Assistant Director, and Lab Manager.
  • Continuously monitor all accounts for budgeting, spending, and accurate reconciliation online via Web Financials.
  • Prepare monthly updates and quarterly finance reports.
  • Oversee accurate financial records including invoice payments, purchase orders, procurement card reports, travel forms, and quarterly budget reports.
  • Complete monthly purchasing card reconciliations and transaction reports.
  • Procure supplies and materials for group through SAP Ariba and appropriate channels.
  • Process shipping requests.
  • Complete budget transfers, funding transfers, supplemental pay and grant compensation.
  • Facilitate payment of scholarship and award funds.
  • Manage invoices, payments, and purchases for special projects such as conferences and competitions.
  • Prepare fiscal year-end requirements.
  • Prepare the fiscal portion of the annual faculty report Human Resources management.
  • Serve as a point of contact for researchers & other departments within Drexel.
  • Complete hiring process paperwork -Process Bi-weekly and student payroll.
  • Process EPAFs to update job records Support PI and group travel.
  • Track all travel.
  • Submit international travel requests on behalf of PI and group members.
  • Coordinate conference registration.
  • Book travel reservations.
  • Manage reimbursements.
  • Other duties as assigned.

Required Qualifications

  • Minimum of associate's degree in business, accounting, finance, or related field or the equivalent combination of education and work experience. 
  • At least 1-2 years of relevant experience.

Preferred Qualifications

  • Bachelor’s degree desired.
  • Experience with university software systems.
  • Experience in grants management.
  • Demonstrated track record in a front-line service-oriented position, involving extensive customer contact and relationship building.
  • Knowledge of management and related issues and demonstrated ability to apply such knowledge.
  • Expert knowledge of and experience with Microsoft Office (Word, Excel, PowerPoint, and SharePoint), as well as experience with accounting or project management software.
  • Highly organized.
  • Ability to establish clear priorities and multitask in a high-volume setting, responsive to externally generated deadlines.
  • Demonstrated ability to listen to and communicate with differing stakeholders at all levels.
  • Strong analytical skills.
  • Strong verbal and written communication skills.
  • Customer-focused and dedicated to providing optimum service.
  • Ability to multitask and work effectively in a team environment, both within a project and in developing relationships and collaborations through committees and workgroups.
  • Ability to be professional, courteous, and tactful.

Additional Information
This position is classified as Exempt, grade K. Compensation for this grade ranges from $54,630 to $81,940 per year. Please note that the offered rate for this position typically aligns with the minimum to midrange of this grade, but it can vary based on the successful candidate’s qualifications and experience, department budget, and an internal equity review.
