Job Summary

The Executive Assistant II provides high-level administrative support to the Vice Dean of Educational Affairs serving as the central coordinator for the Office of Educational Affairs, which oversees 14 divisions supporting the student experience from admissions through commencement. Responsibilities include managing calendars, meetings, events, travel, and project workflows while handling confidential information with discretion. The position requires strong interpersonal, communication, and critical-thinking skills to effectively engage
with leadership, faculty, staff, and students, and to contribute to the development of policies, processes, and administrative initiatives.

This position is grant-funded; employment is contingent upon the continued availability of those funds.   

Essential Functions

  • Manage short- and long-term calendar planning, exercising considerable independent judgment about multiple demands on the Vice Dean time and coordinating planning among the executive assistants and leadership teams of the Dean’s Office, Office of Faculty, Office of Research and others.
  • Coordinating strategic planning among the leadership and administrative teams of the 14 divisions within the Office of Educational Affairs (to also include additional divisions joining OEA from GSBSPS and Elkins Park campuses)
  • Assist internal and external constituents with inquiries on behalf of the Vice Dean
  • Identify issues requiring the Vice Dean direct attention and re-direct others that can be addressed or facilitated by others on their behalf. When appropriate, follow up with all responsible parties to ensure resolution of inquiries. 
  • Obtain and provide the Vice Dean with appropriate materials for scheduled meetings and presentations, including document preparation and managing the meeting logistics to ensure meetings run efficiently. 
  • Perform general administrative, clerical, and back-up support for team members and other office functions
  • Update the Vice Dean of Educational Affairs CV and speaking engagement list on a regular basis. Draft letters and other short messages for the Vice Dean
  • Coordinate the Faculty Evaluation process by setting up meetings between faculty members and the Vice Dean and maintaining all evaluation related records in coordination with the Office of Faulty Affairs
  • Coordinate collection and dissemination of data and other information, such as reports with the Sr. Dir. of Administrative Services 
  • Assist with event setup and planning led by Vice Dean inclusive of student milestone events

Required Qualifications

  • Minimum of a Bachelor's Degree in or the equivalent combination of education and work experience.

  • Minimum of 5-7 years of high level experience in supporting C-suite executives
  • Detail orientated
  • Proficient communication skills
  • Proficient Microsoft Office Skills (inclusive of Teams and Sharepoint)
  • Highly Organized

  • Interpersonal Effectiveness

Additional Information
This position is classified as Exempt, grade L. Compensation for this grade ranges from $69,070.00 to $103,600.00 per year . Please note that the offered rate for this position will vary based on the successful candidate’s qualifications and experience, department budget, and an internal equity review.
