Job Summary

The position's main purpose is to coordinate, organize and maintain patient medical records (including EMR) ensuring accuracy and completeness for all patients in The Eye Institute.

Essential Functions

  • HIPAA Compliance: Maintains confidentiality of patient medical information and complies with HIPAA regulations as detailed in clinic and university guidelines.
  • Administrative duties: Provides clerical and other office services to the Medical Records Department in addition to retrieving messages and routing to the appropriate departments.
  • Service: Builds cooperative partnerships with compassion and respect by providing excellent customer service when interacting with patients, vendors, and fellow employees.
  • Record Requests: Processes authorized requests of medical records to outside agencies including patients, physician offices/medical facilities, disability determination, legal summons in accordance with established protocols.
  • Inbound Correspondence: Manages inbound documentation by ensuring appropriateness for electronic filing in the patient record. Assists with audits and quality assurance activities related to medical records.
  • Record Archiving: Monitors and maintains old and inactive patient medical records.
  • Performs data entry and purges old records, preparing charts for off-site storage in accordance with established protocols.
  • Performs other related duties, as assigned.
  • Other duties as assigned.

Required Qualifications

  • High School Diploma or GED
  • Available to work evening hours as scheduled or as needed.
  • Knowledge of Windows based program (Excel, Word)
  • Prior Electronic Medical Records experience
  • Prior experience in a medical facility or doctor’s office

  • Knowledge of Windows based program (Excel, Word)
  • Strong data entry skills
  • Excellent verbal and written communication skills
  • Advanced organization skills
  • Attention to detail to ensure accuracy
  • Familiarity with medical terminology
