Job Summary

The Billing Coordinator of the Partnership Comprehensive Care Practice (PCCP) Outpatient Clinic serves an essential role as part of a multi-disciplinary team that provides patient care and education for adult patients living with HIV.  Under the direction of the Clinical Director, the Billing Coordinator will serve as the lead patient services representative and will oversee the daily operational activities of the patient services representative team, ensuring a positive experience for patients, providers, and staff at PCCP.  Duties include, but are not limited to, patient registration and scheduling, accepting, recording, and verifying insurance information, collecting co-pays and account balance payments, scanning documents into the electronic medical record and other administrative tasks related to efficient front-desk operations.  The Billing Coordinator consistently evaluates front-desk operations to ensure that pre- and post-registration activities are handled in a timely and accurate manner and identifies opportunities to improve the efficiency and effectiveness of operations. This individual must ensure contact with patients, families, the community, vendors, coworkers, and physicians are carried out in a friendly, courteous, helpful, and considerate manner.  The Billing Coordinator participates in Quality activities, as needed, and positively promotes the Mission, Vision, and Values of the PCCP and Drexel Medicine.

Essential Functions

  • Schedule patients accurately and completely and offer appointment alternatives when needed.
  • These include the prompt and courteous answering of multi-line phone system triaging calls as needed.
  • Accurately gather patient demographics, insurance and/or financial information to establish patient's account, financial and billing data for the purpose of expediting third party billing and collection self-pay balances.
  • Establishes a process to ensure that the pre-registration, including eligibility and the documentation of the correct primary care provider is appropriately documented.
  • Ensures the collection of patient identification and insurance cards at check-in.
  • Manage interaction from the customer's point of view.
  • Ensure and respect patient/family and customer confidentiality; makes necessary interaction to accommodate the diverse needs of our patients, families, and customers.
  • Ensures a process that provides for reminder calls to all patients at least 24 hours in advance of scheduled appointments.
  • Works to ensure that patients are offered MyChart activation and assists patients in sign-up as needed.
  • Ensures that registration documents are signed at check-in, including the MSPQ survey for all Medicare Patients.
  • Works with Director of Revenue Cycle to address registration issues that result in billing errors.
  • In conjunction with Clinical Director, develops protocols and procedures to ensure the effectiveness and efficiency of front-desk services. 
  • Acts as a Patient Services Representative SuperUser and oversees appropriate use of Electronic Medical Record.
  • Secures and maintains the confidentiality of protected health information in following with all HIPAA regulations and PCI standards.
  • Works directly with the EMR Support Manager to troubleshoot clinical issues related to the electronic medical record system.
  • Interfaces with Clinical Director, providers, staff, and revenue cycle team, to ensure a positive patient experience.
  • Perform administrative duties, including but not limited to new patient packets, scanning, updating, registering as well as scanning all prior patient records.
  • Fosters effective communication and teambuilding.
  • Demonstrates the following leadership skills: critical thinking, conflict resolution, negotiation, motivation, and personnel development.
  • Perform other duties as assigned.

 

Required Qualifications

  • Minimum of a high school diploma or Ged.
  • Minimum of a year experience in Microsoft Suite and other PC software. Familiarity with an electronic medical records system.

Preferred Qualifications

  • Minimum of one year experience working in a clinical medical setting.
  • Excellent written and verbal communication skills, Good organizational skills.  
  • Experience and proficiency in working with and supporting a team and able to function independently.
  • Ability to communicate with clients in an empathic and supportive manner.
  • Ability to adapt and work effectively with a wide variety of people and situations in a professional and supportive manner. 
  • Experience performing outreach or community-based organizing in the Philadelphia community.
  • Firsthand understanding of issues related to living with HIV/AIDS.
  • Knowledge and awareness of Trauma Informed Care, social justice and working with LGBTQIA+ patient populations.
